Marmora Snofest Committee Meeting

April 28, 2008


Present: Vice Chair Gail Taylor, Secretary Wilma Bush, Past Chair Richard Lowery, Council Rep. Bonnie Danes, June Vilneff, John Langley, Jerry Roy, Linda Roy, Brian Galloway, Bob Drummond, Vera Wylie and Gary Poirier.


Absent with regrets - Chair Sue Korver


       In absence of Chair welcome by Vice Chair was followed by:


MOTION by John Langley seconded by Richard Lowery

       that the Minutes of the March 3 meeting be approved as circulated.         

  Carried


TREASURY - Barbara Fisher left a report saying balance in Marmora Cup was - and balance in Marmora Snofest Adventure Race was - .  The term investment is due for renewal.  -  is due The Shield for an ad re Annual General Meeting.

       Barbara also left some Treasury material at the meeting.


CORRESPONDENCE

       The Vice Chair said she would check with the Chair to see if letters have been forwarded to the Sponsors re their donations.  Vera Wylie said Bunker's had not yet received a letter.

       The Secretary advised she had forwarded a registered letter, also signed by Vera Wylie, to Hogan Courrier with the gift certificates he had donated to Silent Auction and a photo copy of the bidding sheet re his certificates.

       Richard Lowery will seek further clarification with the Municipal CAO re charitable donations.


COMMITTEE REPORTS

Races - Brian Galloway gave a report on dates of dog sled races in surrounding communities.  Brian also advised he will be stepping down as Race Marshall for 2009  but will be available to help.


MOTION by Brian Galloway, seconded by June Vilneff

       that the 2009 Snofest will be held January 30, 31 and February 1.          

                Carried


Trails: Bob Drummond has resigned as Chair of Trails but will assist and guide those taking on that task.  He said he had Adam Hewitt and John Fraser willing to participate in the grooming.  Bob is willing to look after the wood for the bonfire and will have the usual equipment available from Drummond's BMR.


Silent Auction/Donaters - Vera Wylie said she is willing to assist with this only if she has a helper(s).


Snofest Buttons - A new chair will be needed for that committee


Banquet - June Vilneff said something new was needed instead of the Banquet for the Friday night.  Different ideas were discussed.  June will help with whatever is decided and the Silent Auction, or a similar event, will still take place that evening.


Breakfasts  - The Secretary was requested to inform the Marmora Crowe Valley Lions of the decision not to have the Banquet and invite them to cater to the breakfast(s) Saturday and/or Sunday morning.


MOTION- by June Vilneff, seconded by Jerry Roy to invite Marmora Crowe

Valley Lions to cater to one or both Snofest Weekend breakfasts.

Children's Events - Gail Taylor said there is a big area to work on and was happy the literary contest was successful.


Environmental Day - Bonnie Danes said there was now an Environmental committee with the Municipality to help with whatever event is held.


Arts - John Langley is working on having something organized for Snofest

Weekend and would like to use the Legion room across from the large room.  

He is also planning to eventually hold 'Art In The Park'.


Crafts - Gail Taylor will check for someone to look after it if Barbara Fisher decides not to continue as chair of this committee.


Skateathon  - It was felt Bernie Donaldson did a fine job and it is hoped all the schools will participate in the future.


Advertising - Sue Warburton is a possibility  - Richard will check with her.


Promotional Material - June Vilneff hopes Suzan Cuddy will assist again.


Web Site - The new site is well maintained by Chris Gorsline and is interesting.  It was decided Linda Roy would be the person to forward Snofest material to Chris.


Constitution - John Langley expressed appreciation to the ad hoc Constitution Committee for all their assistance.

       • He announced a new position would be created of a Chair who had served five years or more - Chair Emeritus (Emeritus meaning: retired from active service but retains an honourary position)

       • All mail will be directed to Snofest lawyer's address - mail will be picked up by Secretary and distributed to concerned member of Snofest with a copy kept in the Secretary's file.  Copies of all letters sent out by Snofest committee will be kept in Secretary's file.


Signs - Snofest signs came down after the snow melted.


Laminations • Gail Taylor has been very busy but will eventually have Snofest material laminated.


New Business - John Langley requested that all resignations be recorded in

Snofest Minutes and requested appreciation be sent them.   June Vilneff
