Marmora SnoFest Committee Meeting

March 3, 2008


Present: Chair Sue Korver,Vice Chair Gail Taylor, Secretary Wilma Bush, Treasurer Barbara Fisher, Past Chair Richard Lowery, Council Rep. Bonnie Danes, June Vilneff, John Langley, Jerry Roy, Linda Roy, Norman Bradley, Stew Fisher, Brian Galloway and Joy Taylor.


Welcome by Chair followed by:

MOTION by Richard Lowery, seconded by Gail Taylor

      that the Minutes of the January 28 meeting beapproved as circulated.       

       Carried


TREASURY - Barbara Fisher reported a balance of ...........  A summary report is attached.

      It was agreed letters should be sent to donators to dog races to determine if they would prefer

       1) to leave the donation

       2) receive the donation back or

       3) apply it to the next year's races.


MOTION by June Vilneff, seconded by Vera Wylie

      to accept Treasurer's report

CLARIFICATION - A misunderstanding by the Treasurer was explained by the Secretary.  The Secretary was interviewed by the Belleville Intelligencer - the article appeared February, 2008.

      The statements were, "We can't depend on just the dog races", said Bush. 

       "We need a lot of other activities, and that's what we're trying to push.

       Hopefully by next year we'll have our act together better."


CORRESPONDENCE - The secretary read a letter from the Municipality of Marmora and Lake CAO regarding Charitable Donations. Further clarification will be sought.


COMMITTEE REPORTS

Races - Brian Galloway said he has spoken to Jim Cunningham re the 2009 races.  The date is yet to be confirmed when a check is made to see when Eldorado, Kearney and Kemptville are holding their races.


Sponsors/Donaters - Vera Wylie reported .............was received from the Silent Auction and ................. from the Draw Tickets.  She resigned from chairing this event another year and recommended two people look after it.


Banquet - June Vilneff said she felt badly the loss was ...... since not as many tickets were purchased and suggested other events be looked at for that weekend.


      Brian Galloway and June didn't think the races should continue but Norman Bradley spoke on the importance of continuing the dog races - perhaps differently and a mushers' meeting was suggested.


Buttons -  Stew Fisher resigned as chair of this committee.  A loss of .......was realized due mainly to cancellation of dog races.


Children's Events - Gail Taylor said that 107 children participated in the Canadian Authors' contest - 55 attended the presentations at the community centre.


      She also commended Sue Warburton for co-ordinating successful children's games in the arena room, and donating all the supplies.  free skatiing was also available in the arena.


Environmental Day - Bonnie Danes said the day was successful and she enjoyed chairing it.  She read a letter from one of the participants who thought it was an excellent idea.


Arts & Crafts - Barbara Fisher said there was a smaller turnout., Complimentary comments were made bout the crafts and music that took place.


      John Langley said he noted there were no displays of art for sale - he is trying to form a local Art Club and will keep the committee informed.


Advertising - Norm Bradley said he found the presentations done were excellent. He was grateful for the two freebies on the last Friday night at CHEX when he informed the dog races had been cancelled.


Promotional Material - June Vilneff advised Suzan Cuddy had looked after the material and approximately ........ will be handed in.


Appreciations - Vera Wylie had sent out letters of thanks to all she received donations from. June has sent out cards of appreciation to the others.  Gail Taylor will send out cards to the two involved with the children's games.


Signs - (For Environmental Day & Arts & Crafts) Bonnie Danes said they were well done and were successful in telling people where the events were taking place. They will be stored at Drummonds'.

      The other signs are stored in the Information Building though some of the businesses decided to keep the one they put in their window.


Other Events -

      June reported the United Church Saturday Luncheon had been a success and a donation was made to SnoFest.  They will continue holding the Luncheon.

      Richard reported another donor to SnoFest, Marmora Legion Br. #237, held a successful musical afternoon with 'Heartland' Band.


NEW BUSINESS


• It was advised the present web site will no longer be available after April 30 Gail Taylor advised Yahoo can supply a site for .... /month.,  The Chair and Vice Chair will look for a new site.


• Gail Taylor advised she will look into the cost of getting the Snofest material laminated.


• Vera Wylie advised Community Care for Central Hastings will no longer be catering the Saturday and Sunday morning breakfasts.


• Joy Taylor remarked she was not in favour of the negativity she heard around the table.  She said new members should be welcomed and encouraged to participate and that would make a big difference in the success of the Snofest Weekend.


• The Chair provided partial copies of the 1994 Constitution and a discussion ensued.


      Richard Lowery gave a background statement about the Constitution as it was formulated first in 1994.  Upon examination he felt it warranted being updated, and that setting out a structure and some principles of communication could help us to avoid some of the conflict we have been experiencing.


MOTION by Stew Fisher, seconded by Vera Wylie that an ad hoc committee form to study the old Constitution and bring back recommendations  to the Snofest Committee. Ad hoc committee - Sue Korver, Richard Lowery, Gail Taylor, Bonnie Danes and John Langley.                                                Carried
